In this blog article, I’ll demonstrate how to establish a reprocessing rule for clearing open items and one-step posts of bank statement items.
The screenshots that follow were obtained from a system running SAP S/4HANA Cloud 2202 However, both SAP S/4HANA and SAP S/4HANA Cloud systems can use this process.
Imagine if your business sent a client two invoices. In the Manage Customer Line Items app, you can view the details of the open item.
In this instance, the business sent the client 10100009 the following two invoices:
- INV202200085, a bill for EUR 649.99
- INV202200006, a bill for EUR 77.99
It is preferable for this customer to wire EUR 727.98 to the business’s bank account and to include the names of the two references in the memo line. It is simpler to automatically clear the two invoices than it is to manually clear them. With a reprocessing rule that only does one-step postings—i.e., a reprocessing rule that can only post items to the posting area 1—this example shows how to clear the open items.
The Manage Bank Statement Reprocessing Rules app is where you must create the reprocessing rule. After arriving to the app, click the Create button.
The following information should be entered on the Reprocessing Rule tab:
- Enter a clear name for the rule to make it simple to find and understand it.
- Choose the journal entry type for the posting; in this example, “DZ – Customer Payment” is used.
- Incoming Payment Rule
- Action: Sequential, clear
By putting conditions that apply to the bank statement items, please ensure that the rule will be detected by the bank statement item:
Choose the 0010 processing instructions under the Clear in Sequence tab to advise the system to search for payments from business partners:
By selecting the Create option, you may save the rule.
Now, users of the Reprocess Bank Statement Items app can manually apply the rule. But in our scenario, we want to automate it so that it takes effect as soon as the bank statements are imported. To do this, select Automate Rule from the menu.
You must have purchased the licence for Advanced Bank Statement Automation in order to automate reprocessing rules (4X8). Please get in touch with your SAP Account Executive for more details.
In the pop-up box, select the 001 (One-Step Posting) procedure type, and then confirm your choice by clicking the Automate Rule button.
Note: The value you’ve already specified on the rule defaults the journal entry type. Only two-step postings require the two subaccount fields.
When the rule is activated, the system will start using it for the incoming bank statements that come after that. Visit the Reprocess Bank Statement Items app to see if a bank statement item was handled by the rule.
