Create Supplier Invoice tile is a part of the app Manage Supplier Invoices. It is used to create a supplier invoice based on the received document. The SAP S/4HANA Cloud 2208 release extends the use of this tile for QR-bill data.

What is QR-bill?

The QR-bill is a procedure used since June 2020 to modernize Swiss payment transactions.

Create Supplier Invoice

The parameter type CHQR must be set to Q or B in order to view the additional fields required for the application of QR-bill data.

Note:

In SAP S/4HANA Cloud’s Maintain Additional Parameters configuration step or in SAP S/4HANA’s Customizing for Financial Accounting’s Financial Accounting Global Settings > Global Parameters for Company Code > Maintain Additional Parameters, you can modify the parameter type’s value.

The next section describes how to insert data in Create Supplier Invoice for each value of the CHQR parameter type.

ISR procedure

Enter the ISR number and the ISR reference in the ISR Number and the ISR/QR Reference fields.

QR-bill procedure

Enter a QR-IBAN number and the QR reference in the QR-IBAN and the ISR/QR reference number fields.

Both the QR-IBAN number and the QR reference must be entered. You get an error notice if one of the values is missing. Following that, these values are shown in the line item information.

Only a QR-IBAN number can be manually entered in the field. If you submit a normal IBAN number, the system compares it to those in the business partner master data and, if they match, enters the appropriate key in the Partner Bank Type field. As the IBAN entered into the QR-IBAN field is not a QR-IBAN, it is then removed.

If you also enter additional information, after the validation, the data is entered in the One-Time Account/Alternative Payee field.

Note: The standard IBAN number can only be a CH or an LI IBAN number.

QR-bill and ISR procedures

The ISR Number, ISR/QR Reference, QR-IBAN, and Additional Info fields will appear on the page if Customizing is configured to use both the QR-bill and the ISR method. Make careful to only fill out the fields necessary for the ISR or QR-bill solutions, as described in the aforementioned two use cases. It should be noted that a vendor invoice cannot contain both an ISR number and a QR-IBAN number. You get an error warning if you try that.

Instead of providing an existing QR-IBAN number, you can establish a new one by typing the new number into the appropriate field. The system records the QR-IBAN number during the posting of the invoice in the IBAN database table (technical name: TIBAN).

The bank information in the business partner master data is not checked against the QR-IBAN number. However, the system verifies the IBAN number against the business partner master data and utilises it only if it already exists there when you enter a normal IBAN number in the QR-IBAN or the Partner Bank Type box.

Manage Journal Entries

The Manage Journal Entries app allows you to view or edit the entered data. Find the journal entry number by searching for it, then click it and select Manage Journal Entries. To view the data, select the appropriate line item.

The Country/Region-Specific Data area of the screen contains the information from the QR-bill.

You must enter edit mode in order to make changes to the QR-bill data. The IBAN number, ISR/QR reference, and other details are all editable. On the other hand, you can only alter the default IBAN if you also submit extra data.

The bank account and bank number are updated in accordance with the revised QR-IBAN, and the new information is shown on the screen in the Journal-Specific Vendor Payment Type area.
